How can a wedding planner assist with tents?

Since I started my firm in 2002, I have had the honor of planning over 100 weddings and celebrations. Most of these events have been held in marquees in the gardens of my clients; examples of several of these can be found on our blog or even in our gallery. I am a judge for the wedding industry awards (marquee and planner categories) and I created a marquee webinar for Experienced Wedding Planners looking to advance their education through the UKAWP due to the depth of my expertise.



I believe the reason I particularly adore marquees is that the client and I have complete control and can alter the marquee's appearance to perfectly suit my clients. Additionally, I enjoy the logistics of marquees since they are like jigsaw pieces that must be solved. Don't underestimate the amount of labor needed in organizing and setting up a marquee wedding if you're planning one.


Because you have to plan everything from scratch and make judgments on sometimes tedious topics like "what toilets to hire!," it is a lot more challenging than using a hotel or venue. Considering the complications required in a marquee wedding, I personally believe that every customer should hire a coordinator. While every venue has an internal planner available to you, with a marquee, all decisions are made by you.


  • Over the course of a 10-month planning process, it is not unusual for me to respond to 400 emails. Keep in mind that I only host a select few events each year because I have just one client. We definitely aren't a conveyor-belt event company.

  • I spend between 100 and 150 hours organizing a marquee wedding from beginning to end.

  • The only times my assistant Lisa is absent from my events is if she has scheduled a vacation at the same time, and she has been working for me for 10 years!

  • I occasionally attend 20 to 25 meetings for each marquee wedding, including site surveys, supplier interviews, cake and catering tastings, stationery meetings, and of course client planning sessions. (This is why I only accept a certain number of tasks)

  • I spend at least two full days on site during the week of the marquee build, 15 hours on the wedding day, and four hours the day following the wedding, usually with little to no sleep. Lisa and I occasionally stay close to home, while other times we both drive home.

  • I oversee and manage 15 to 20 suppliers for the majority of my marquee weddings, making ensuring that all deliveries go place as planned.

  • Depending on how complicated the wedding is, my team may grow; the most assistance I've ever had was six. However, Lisa, Lisa, and I work together every day.

  • My clients frequently have multiple dogs and horses, so it's not uncommon for us to conduct meetings in the middle of a field with animals surrounding us. I've even had a horse nibble on my file during one of these site visits with a marquee company. Sometimes the land my clients have is so vast that the only way to get around quickly is via the client gators (utility vehicles), and we have to use walkie-talkies to communicate with each other.

  • The less appealing side

  • There are instances when the tasks we complete on the wedding day are unsightly yet necessary. Here are a few "issues" from weddings that we were able to resolve. Consider hiring someone to manage the day for you if you don't have a wedding planner to assist with your marquee.

  • The erected dance floor melted beneath the transparent roof tent the night before the wedding, necessitating the purchase of a new one.

  • contacted a neighboring farmer to assist in removing suppliers' stalled trucks from in front of the marquee (managed to get this done just before guest arrival).

  • When the portable toilets ran out of water, I filled them up and instead of using paper towels, I folded some kitchen towels.

  • Help intoxicated visitors travel home or to their hotel securely by providing assistance.

  • To make sure the marquee is correctly set up, stay as late as is necessary. So what happens if the linen delivery is delayed by 48 hours and arrives at 8 p.m.? Once all the tables are put up, Lisa and I stay until the wee hours of the morning.

  • Getting down on my hands and knees to take the plastic off the freshly vacuumed carpet so that it is as spotless as possible for the visitors.

  • Using my sting remedy on visitors who get stung

  • Dealing with ants and bugs in the marquee and making every effort to maintain control

  • When there isn't enough, rushing to the store to buy drinks

  • If the generator trips, restart it, then inspect my distribution board to determine what caused it to trip.
